What will you do?

FastPay is seeking an Executive Assistant to join our rapidly growing team and provide support to a few executives in our Westborough, MA office. You will provide support to two executives by taking a proactive approach to keeping their schedule running on time and efficiently.  In addition, you will play a key role in supporting company operations by maintaining office infrastructure and procedures. This multi-faceted position is a pivotal and integral role in a dynamic team environment.  This is a hands-on position and requires a proactive approach to supporting the aggressive growth goals of the company, a sense of ownership, and a passion for delivering results in a fast-paced and fun environment. 


  • Assists the CEO and other executives with scheduling, air travel, and other ad hoc requests    
  • Supports company operations by maintaining office systems
  • Coordination of processes and procedures to ensure continuity and optimum workflow
  • Welcome all guests and clients, whether in-person or on the phone, and answering or directing inquiries.
  • Orient all new staff
  • Order supplies, food/catered lunches; general clean up around the office
  • Maintain the condition/layout of the office and arranging for necessary repairs
  • Schedule meetings for executives
  • Coordinate travel plans for staff
  • Run various errands
  • Organize expense reports for payroll
  • Keep track of all invoices within the company via digital filing system
  • Record office expenditures
  • implement office policies by establishing standards and procedures; measuring results against standards; making necessary adjustments
  • Taking minutes during meetings
  • Helping other members of the staff in other departments as needed
  • Manage vendor relations
  • Other duties as assigned


  • Strong phone and interpersonal communication skills (verbal and written) as well as organizational skills – all to ensure information is relayed correctly within the company
  • Strong attention to detail and the ability to multitask
  • Experience working and succeeding in a goal-driven environment
  • Proficient in Google Mail and Calendar in addition to MS Office Suite (Word, Excel, Outlook, and PPT)
  • Desire to work in a fast-paced setting
  • Bachelor's degree
  • 5+ years of executive administration experience preferably within a start-up
